Splitting and settling up

In a shared space, one expense can be divided between the people in it, naming who actually paid. Cofre Ink then adds up everything that was divided, takes away what was already paid back, says who owes whom, and proposes a short list of payments that clears it. The parts always add up to the exact amount, to the cent.

A second person needs a server

Dividing needs at least two people in the space, and bringing a second person in needs a Cofre Ink server of your own (see Members and invitations). In browser mode you can try it with the example data (tick Start with example data on the first screen): the example space Casa has a made up second person, João (exemplo).

Where to find it

Dividing is in Records, List. In a shared space, the gear button at the end of the row of an expense offers Divide with the house. Who owes whom is on the Members screen of that space (space menu, Members), in the panel Who owes whom.

Divide an expense

1. Check that you are in the shared space: its name is on the button at the top of the screen.
2. In Records, List, write the expense if it is not there yet (New record, see Writing a record).
3. Press the gear button at the end of its row and choose Divide with the house. The dialog Divide the expense opens.
4. Under How to divide, choose one of these:
   1. Evenly: everyone pays the same part.
   2. By shares: one number per person. Two and one means two thirds and one third.
   3. By income: each person pays in proportion to the Monthly income they gave on Members.
5. Under Who paid, choose whoever put the money in, which is not always who wrote the record.
6. Press Save.

To see the parts, open Divide with the house on the same expense again: How it is divided lists what falls to each person. Check it, above all after By shares, then press Cancel. The dialog always opens on Evenly, so pressing Save there divides again with what is on screen and replaces the old division. Undo the division leaves the expense as one person’s again.

See who owes whom

Open the space menu and choose Members. Under Who owes whom, each person with something pending shows is owed or owes and an amount. Whoever paid an expense counts as having put in all of it, and each person owes their part. When everything is even, the panel says Nobody owes anybody anything.

Settle up

1. On Members, under To clear it, each line says who pays whom and how much.
2. Once that payment has happened, outside Cofre Ink, press Mark as paid on its line.

The payment moves to Already settled, with its date, and the balances change. Undo, on a line under Already settled, takes that payment back out. With two people, one payment always clears everything.

Good to know

1. Only an expense can be divided, and only in a shared space. Divide with the house does not appear on incomes, on transfers or in the personal space.
2. A division always takes in everyone in the space, and there is no way to leave someone out. With By income, a person who has not given a monthly income gets no part, and at least one person has to have given one.
3. Mark as paid records exactly the amount proposed, dated today. There is no field for a partial payment or a note.
4. Settling is not a record. It does not appear in the list of records or in reports about spending, and it moves no money between accounts.
5. If you change the amount of an expense after dividing it, the division is not redone on its own. Open Divide with the house, choose the way to divide again and press Save.
6. Deleting a divided expense takes it out of the balances.
7. The Owner, an Administrator and an Editor can divide expenses and mark payments. A Viewer and a Logger see the balances.
